Our services as OPC cover integral coordination of the event in its three stages: Pre-Congress, Development and Post-Congress. Pre-Congress Services
  • Venue Selection: selection and/or hiring advice.
  • Making and/or managing budget for event.
  • Developing task and timing schedule to maximize resources and time.
  • Development and implementation of communication strategy: press releases, advertising, invitations to participants, invitations to speakers.
  • Development and implementation of marketing strategy and sponsorship program.
  • Planning related events: openings, social events, gala dinners, opening and closing speeches, etc.
  • Planimetry development.
  • Request of official sponsorships and declarations of interest.
  • Search and training of temporary staff.
  • Development and implementation of registration system.
  • Preparation of periodic reports.
  • Agreements with hotels to lodge special guests.
  • Own management or through a designated operator of tourist services for participants (hotel reservations, program of visits, etc).
  • Coordination with Scientific Committee and development of schedule and programs related to all scientific activity.
  • Sending invitations (preparation and mailing) and constant follow-up of all correspondence related to the Organizing and Scientific Committee.
  • Preparation and distribution of documents to call for paper submission.
  • Confirmation of Presentations to paper authors.
  • Press and promotion of event.
  • Development and production of select communication tools (brochures, posters, invitations, etc.).
  • Website management.
  • Dealings with venue rented to hold the event.
In-Congress Services
  • Furnishing and equipment of conference rooms and common spaces (accreditations area, business centre, lecture rooms, service areas, etc).
  • Preparation of identification tags, briefcases, or folders for participants.
  • Registration and listings.
  • Guest speaker assistance.
  • Handing out diplomas and certificates agreed with the Organizing Committee.
  • Coordination of rooms regarding supervising correct functioning of all systems and processes in the agreed time and manner.
  • Management of staff working in the event.
  • Monitoring of activity schedule.
Post-Congress Services
  • Return of unused material to Organizing Committee.
  • Delivery of uncollected certificates.
  • Writing thank you notes.
  • Final assessment and preparation of reports with statistical information concerning the event.
